Professional Employment Opportunities in the International Programme Office forIntegrated Research on Disaster Risk

The Integrated Research on Disaster Risk (IRDR) is a major new 10-year international research programme co-sponsored by the International Council for Science (ICSU), International Social Science Council (ISSC) and United Nations International Strategy for Disaster Reduction (UN-ISDR).

The International Programme Office of IRDR is established at the Center for Earth Observation and Digital Earth of Chinese Academy of Sciences (CEODE). It is the first international office of a large science programme ever established in Asia. The office will mainly serve the IRDR Scientific Committee, and is responsible for the operation, coordination, and promotion of IRDR.

The vacancy is open for application, with detailed description as below.

Main purpose of job:

To support the Executive Director in day to day administrative tasks.

4.

Key duties and responsibilities

· Managing correspondence andcommunication of the Executive Director and understanding the varying degrees of thedirector's tasks.

· Organizing, planning and schedulingdaily and weekly agendas, both for business and personal appointments.

· Organizing travel and all related arrangements (i.e. hotel, transportation, visas) for Executive Director. Processing travel expense claims after the Executive Director’s business trips.

· Screening telephone calls, enquiries and requests, and handling them when appropriate

· Receive telephone calls on behalf of the Executive Director.  This includes taking messages and acting on or following up on those messages when necessary, as well as setting up conference calls when required.

· Handle daily correspondences, minutes, reports and other documents, including preparation of presentation materials and proposals, maintaining an up-to-date contact database and filing system.

· Liaising with IRDR Science Committee members and Chair, co-sponsor organizations and other key partners as needed

· Ability to undertake research as required by the Executive Director

· Ability to undertake work with initiative and efficiency

· Ability to work to strict time frames

· Any other duties assigned by Executive Director.

Qualifications and skills needed

· Minimum 3 years of experience as a Personal Assistant in organizations with international activities, preferably with a university degree.

· Fluency in written and spoken English and Chinese Mandarin is mandatory.

· An individual with a strong organizational and problem-solving skillswho works well under pressure, is able to take criticism and is willing to learn from their experiences.

· Proficiency in basic office software, including Word, Excel, Powerpoint and database management systems, freeware tools such as Google Calendar and Groups or similar.

· Experience of tele- and video-conferencing technologies, such as Skype.

· Ability to work independent of daily or on-site supervision.
